Application Skills: Notes For Official Document Writing Format
A complete document involves nearly twenty elements of large and small size. The content, format and location of each element are relatively fixed, so it is not difficult to grasp the format of official documents.
In addition, a document writing usually does not appear all the elements, but only the main part, so we pay attention to the elements of the main part.
The structure of official documents is divided into three parts: edition, subject and edition.
There are six elements in the version, including the number, classification and duration of confidentiality, urgency, the issuing organ, the issuing number and the issuer.
The first six elements are not all documents required. Some elements may or may not exist.
Document subject
It is the most important part of the examination, which is composed of the title, the main sending organ, the main body, the annex, the signature and seal, the date, the notes and the annex.
Title
There are three forms: the name of the issuing organ, the reason + the language (complete form), the reason + the language (short form), and the only kind of writing.
The name of the issuing organ must be consistent with the signature of the issuing organ.
Document Writing
It is not recommended that the title be formulated as a simple form of language only. This kind of opportunistic nature may not be called wrong, but it will affect the score, and it is best to write a complete form of title.
The main sending organ needs to pay attention to two points. First, the main sending organ must be an organ, but not an individual. If the main sending organ is written "XX organ leader", it must be wrong; second, we should pay attention to punctuation marks between the main and the sending organs when they are multiple.
The content of the text is as long as the examinees are fluent, accurate and unambiguous in accordance with the general language requirements. However, attention must be paid to asking for instructions only.
There are two points for candidates to sign and date. One is that most documents need to be stamped. Candidates can add "(Yin Zhang)" after the signature of the issuing organ; the other is that the written date must be Arabia numeric, and the date is full, and it does not mark the virtual position, such as "November 6, 2014".
As for the mastery of official documents, it is suggested that when you have time, you can take out a blank sheet of paper to write out the elements of the document and write several times, so that you can leave a complete document format in your mind.
